Protecting your privacy is fundamental to the way we care for people.  Monkami is committed to upholding the privacy of information collected.  At Monkami, the management of ‘personal information’ and ‘health information’ is governed by the Privacy and Data Protection Act 2014 (Vic) and Health Records Act 2001 (Victoria), (collectively, Victorian privacy law). 

We recognise the importance of privacy and community awareness regarding the collection, use, disclosure and security of personal and sensitive information which we may collect during the course of our many functions.  This Privacy Statement sets out how we manage your personal and sensitive information and protect your privacy.

The information we collect, hold, use and disclose

Monkami performs many functions and provides a range of services and programs.  We will only collect personal and sensitive information that is necessary for us to carry out these functions and provide these services and programs. The type of information we may collect, hold and use, varies depending on the purpose for which it is collected but may include the following (amongst others):

  • To provide you with the necessary care and assistance during your time as a resident of, or participant of services from, one of our service provisions.
  • To provide you with the services requested by you from us
  • To facilitate and manage your purchase from fundraising initiatives or donations to Monkami.
  • To comply with necessary business and accounting standards
  • To comply with our reporting obligations to the Australian Taxation Office and other government agencies and public sector bodies
  • To keep in contact with you as a supporter of Monkami and to inform you about the role and extent of our work.
  • To facilitate and manage employment relationships or student/volunteer arrangement with Monkami.

Personal and sensitive information collected is not shared with third parties without your consent unless a disclosure is required or authorised by law. 

Monkami will also protect the quality and integrity of your personally identifiable information. Appropriate technologies and security methods are used to store the information collected and prevent unauthorised access and improper use of the information.  Information is retained for the period outlines by the Victorian Public Records Act 1973. 

Personal and sensitive information security

How we collect and store personal and sensitive information varies depending on the purpose for which it is collected. We may collect your personal information:

  • Directly from you, either in person, over the phone or by email
  • From third parties where you have specifically authorised us to do so
  • Through our website including through forms on our website.

We will always collect your personal information directly from you unless it is impracticable to do so. This would usually be done in person, over the telephone or by email. Examples may include:

  • Copies of your written correspondence with us
  • Copies of receipts and/or transaction records in relation to your financial support of our fundraising activities
  • Copies of your enquiry form, and information that you may provide to us in relation to one of the many services and programs we offer
  • Copies of student/volunteer agreements or employment agreement and any associated documents and information you provide to us in connection with your volunteering for or employment with Monkami.

We may keep copies of the above documents (in physical and/or electronic form, at our election) as is necessary to carry out our functions and provide our services and programs. All personal and sensitive information is securely stored at all times by us or an authorised external service provider and only authorised people will have access to the above documents and information.

Cookies

A cookie is a small text file placed on your computer by a web server when you access a website. Cookies in themselves do not identify the individual user.

Like many websites, Monkami’s website may use cookies for various reasons, including to recognise a computer which has previously visited our websites and customise our websites according to previous preferences and site behaviour.

For example, you can set your browser to notify you when you receive a cookie or to reject cookies. These cookies are not made available to any third party, and are not used to track your activity

How we comply with the Notifiable Data Breaches Scheme

We will notify you in the event your personal information is involved in a data breach that is likely to result in serious harm. This notification will include recommendations about the steps you should take in response to the breach. We will also notify The Australian Information Commissioner of eligible data breaches. Each suspected data breach reported to us will be assessed to determine whether it is likely to result in serious harm, and as a result require notification.

Your data may also be available to our website provider to enable us and them to deliver their service to us, carry out analysis and research on demographics, interests and behavior of our users and supporters to help us gain a better understanding of them to enable us to improve our services. Your personally identifiable data will only be used where it is necessary for the analysis required, and where your interests for privacy are not deemed to outweigh their legitimate interests in developing new services for us. In the case of this activity the following will apply:

  2. The data that may be available to them include any of the data we collect as described in this privacy policy.
  3. Our website provider will not transfer your data to any other third party, or transfer your data outside of the EEA.
  4. They will store your data for a maximum of 7 years.
